PART I — WEBSITE TERMS
1. ABOUT THESE TERMS
These Website and Client Travel Terms and Conditions (“Terms”) govern your access to and use of zoealexandriatravel.com and any related webpages, forms and content (collectively, the “Website”).
The Website is owned and operated by Zoë Alexandria Galanis, an independent travel advisor operating publicly as Zoë Alexandria (“Zoë Alexandria,” “I,” “me” or “my”).
Part I applies to everyone who accesses or uses the Website. By using the Website, you agree to Part I of these Terms and to my Privacy Policy.
Parts II and III contain additional provisions that apply when you inquire about, retain, authorize or receive travel-planning or booking services from me. Visiting the Website or submitting a general contact form does not, by itself, create a client relationship or require me to provide travel services. The client relationship begins only after I have expressly agreed to provide services and you have completed the applicable engagement requirements.
If you do not agree with the provisions applicable to you, please do not use the Website or engage my services.
2. WEBSITE ELIGIBILITY AND ACCEPTABLE USE
The Website and its forms are intended for individuals who have reached the age of majority in their jurisdiction and are legally capable of entering into an agreement.
You agree to use the Website only for lawful purposes. You must not:
3. WEBSITE INFORMATION AND AVAILABILITY
Website content is provided for general information and to describe my travel-advisory services. It is not a binding offer, booking confirmation or guarantee of availability, price, amenities, benefits, suitability or travel outcome.
Destinations, properties, cruises, experiences, entry requirements, advisories, rates and other travel information may change without notice. Information available through the Website may not reflect the most recent information provided by a government authority, travel supplier or other third party.
I may update, suspend, withdraw or change any part of the Website without notice. I do not guarantee that the Website will always be available, uninterrupted, secure or free from errors.
4. INTELLECTUAL PROPERTY
Unless otherwise indicated, the Website and its original content—including text, copy, branding, graphics, page layouts, photographs owned by me, downloads, guides and other materials—are owned by or licensed to Zoë Alexandria and are protected by applicable intellectual-property laws.
You may view the Website and retain reasonable copies for your personal, non-commercial use. You may not reproduce, modify, distribute, republish, sell, license, display, create derivative works from or commercially exploit Website content without my prior written permission.
Names, logos, photographs, trademarks and other materials belonging to travel suppliers or other third parties remain the property of their respective owners. Their appearance on the Website does not transfer any ownership rights to you.
5. COMMUNICATIONS AND INFORMATION YOU PROVIDE
You may communicate with me through Website forms, linked inquiry forms, email or other available channels. You agree that the information you provide will be accurate and that you are authorized to provide it.
Submitting an inquiry does not guarantee that I will accept the proposed engagement, confirm availability or make any reservation. Please do not send payment-card information, passport details or unnecessary sensitive information through the general Website contact form or ordinary email.
Personal information submitted through the Website or related platforms is handled in accordance with my Privacy Policy.
Messages sent through the Website are not guaranteed to be confidential before a formal client relationship has been established. If your communication is commercially sensitive, please contact me before submitting it.
6. THIRD-PARTY WEBSITES AND PLATFORMS
The Website may contain links to forms, scheduling tools, itinerary platforms, payment systems, travel suppliers, social-media services and other third-party websites or platforms.
These services are operated independently and may have their own terms, privacy policies, accessibility practices and security procedures. I am not responsible for the availability, content, security or independent practices of third-party services.
A link does not necessarily constitute an endorsement or guarantee. You are responsible for reviewing the terms and policies that apply before using a third-party service.
7. COMMERCIAL RELATIONSHIPS AND COMPENSATION
I am affiliated with a host travel agency and maintain professional relationships with travel suppliers and other industry partners. I may receive commissions, referral compensation, amenities or other benefits in connection with travel booked through me.
Compensation does not guarantee that a particular supplier will be recommended, and recommendations are informed by the needs and preferences communicated for the trip, available information, professional judgment and the services within the agreed scope.
The Website may occasionally contain sponsored, affiliate or promotional content. Where required, any material commercial relationship associated with that content will be disclosed.
8. WEBSITE DISCLAIMERS
To the fullest extent permitted by law, the Website and its content are provided on an “as is” and “as available” basis without representations, warranties or conditions of any kind, whether express, implied or statutory.
I do not warrant that Website content will be complete, current, accurate or suitable for every traveller or circumstance. Travel decisions should not be based solely on general Website content.
Nothing on the Website constitutes legal, medical, immigration, financial, insurance or other regulated professional advice. You should obtain advice from an appropriately qualified professional where necessary.
To the fullest extent permitted by law, I am not responsible for losses arising solely from your reliance on general Website content, inability to access the Website, third-party links, unauthorized interference with the Website or circumstances outside my reasonable control.
Nothing in these Terms excludes or limits a right, warranty, condition or liability that cannot lawfully be excluded or limited.
9. ACCESSIBILITY
I am committed to providing a welcoming and reasonably accessible online experience. Accessibility needs and technologies vary, and some third-party platforms linked from the Website are outside my control.
If you experience difficulty accessing Website content or require information in another reasonably available format, please contact me at [email protected]. I will make reasonable efforts to assist.
10. SUSPENSION OR TERMINATION OF WEBSITE ACCESS
I may restrict or terminate access to the Website where I reasonably believe a person has violated these Terms, interfered with the Website, acted unlawfully or created a security or operational risk.
Provisions concerning intellectual property, disclaimers, liability, governing law and any accrued rights or obligations will survive termination where their nature requires it.
PART II — CLIENT TRAVEL TERMS
11. ELIGIBILITY AND AUTHORITY TO ENGAGE TRAVEL SERVICES
When engaging my services, you represent that:
12. INDEPENDENT TRAVEL ADVISOR AND HOST AGENCY
I operate an independent travel-advisory business and am affiliated with Fora Travel, Inc. (“Fora”), which serves as my host agency.
Travel arrangements may be booked, administered or processed through my host agency, its systems or approved booking channels. My host agency may also support supplier relationships, payment processing, booking administration, commissions and other aspects of the travel services I arrange.
Fora Travel, Inc. is registered in Ontario under TICO Registration No. 50027942. Travel suppliers remain responsible for providing their respective travel services. My host agency, suppliers and service providers may impose their own terms and legal requirements.
Nothing in these Terms limits any statutory right or obligation that cannot lawfully be waived.
13. TRAVEL-PLANNING SERVICES AND TRIP DESIGN FEES
The specific planning and booking services I will provide are set out in the applicable Planning Agreement, service description, proposal or other written confirmation.
Services may include research, recommendations, itinerary development, accommodation bookings, cruises, transportation, experiences, dining recommendations, group coordination and other agreed arrangements.
A Trip Design Fee may apply. The applicable fee, scope and payment terms will be disclosed in writing before the engagement begins. Unless otherwise stated in the applicable Planning Agreement or required by law:
14. CLIENT INFORMATION AND RESPONSIBILITIES
You are responsible for providing complete, accurate and timely information, including legal traveller names, dates of birth, contact information, travel dates, preferences, passport details where required, accessibility or health-related needs relevant to travel and any other information reasonably necessary to arrange the requested services.
You must carefully review proposals, quotations, passenger names, travel dates, destinations, room categories, cancellation terms, payment deadlines and booking confirmations. You must notify me promptly of any error or required correction.
I am not responsible for losses caused by inaccurate, incomplete or late information supplied by you or an authorized representative.
15. PROPOSALS AND RECOMMENDATIONS
Recommendations are based on the information you provide, availability at the time of research, supplier information, professional resources and the scope of your planning service.
A recommendation does not guarantee that a property, destination, cruise, experience or supplier will meet every subjective expectation. You remain responsible for reviewing the proposed arrangements and deciding whether to approve them.
Proposals do not hold inventory unless expressly stated. Rates and availability may change before a booking is confirmed.
16. TRAVEL SUPPLIERS AND BOOKING CHANNELS
Hotels, resorts, cruise lines, airlines, rail operators, tour operators, destination-management companies, transfer providers, car-rental companies, restaurants, insurers and other travel suppliers are independent businesses. They are not owned, managed or controlled by me.
The supplier identified in the booking documentation is responsible for providing the applicable travel service. Travel documents may be issued through my host agency, a booking channel or another authorized intermediary.
Supplier terms may govern deposits, final payments, changes, cancellations, refunds, credits, conduct, check-in, embarkation, transportation, baggage, health requirements and other aspects of the service. By authorizing a booking, you agree to the applicable supplier terms made available to you.
To the fullest extent permitted by law, I am not responsible for a supplier’s acts, omissions, service standards, financial failure, schedule changes, cancellations or failure to satisfy subjective expectations. I will, within the scope of my services, communicate with relevant suppliers and advocate for your stated preferences, but I cannot guarantee a particular resolution.
17. RATES, AVAILABILITY AND CURRENCY
Prices are quoted in the supplier’s applicable currency unless otherwise stated. Supplier pricing may be dynamic and may change without notice based on availability, demand, exchange rates, taxes, fees or other factors.
A quotation is not guaranteed until the applicable supplier confirms the reservation and receives any required payment or deposit.
Currency conversion amounts are estimates unless expressly confirmed by the entity processing the payment. Your financial institution or card issuer may apply its own exchange rate or foreign-transaction fees.
All bookings remain subject to supplier confirmation.
18. PAYMENTS AND PAYMENT AUTHORIZATIONS
You agree to pay all planning fees and travel costs by the applicable deadlines.
Travel payments may be made directly to a supplier or processed through my host agency or an approved payment provider. You authorize the applicable entity to process payments expressly approved by you.
Payment-card and authorization information must be submitted through an approved secure form or payment system. You must not send complete payment-card details through ordinary email, social media or the general Website contact form.
You represent that you are authorized to use any payment method supplied. A payment authorization may be relied upon only for the transaction or scope described in that authorization.
Suppliers or payment providers may impose disclosed processing, merchant, convenience or transaction fees. Any fee charged directly by me will be disclosed before payment.
If you believe a charge is incorrect or a purchased service has not been provided as represented, please contact me promptly so that I may review the matter and, where appropriate, communicate with the responsible supplier. Nothing in these Terms removes a dispute right that cannot lawfully be waived.
19. CHANGES AND CANCELLATIONS
Supplier change, cancellation, refund and credit policies apply to each booking. You are responsible for all supplier penalties, non-refundable amounts, fare differences and other charges resulting from an authorized change or cancellation.
Cancellation requests must be initiated by email and may require completion of a Cancellation Request Form. Modification requests must also be submitted in writing. I may require up to three business days after receiving all required information to process a request.
You are responsible for submitting requests with sufficient time before supplier deadlines. I am not responsible for additional costs resulting from a late or incomplete request that cannot reasonably be processed before the applicable deadline.
Any separate advisor administration, change or cancellation fee applicable to your engagement will be stated in your Planning Agreement, service description or written fee schedule provided before you accept the relevant service.
Costs reasonably incurred by me at your request or as a direct result of processing an authorized change or cancellation may be charged to you where disclosed and permitted by law.
20. TRAVEL INSURANCE
Travel insurance is not included unless expressly stated and purchased.
Travel may involve non-refundable payments and risks relating to cancellation, interruption, delay, illness, medical care, evacuation, supplier default, baggage and other circumstances. Insurance coverage is subject to the terms, conditions, limits and exclusions of the applicable policy, and no policy covers every circumstance.
Where required, you will be advised of the availability of trip-cancellation insurance and out-of-province health insurance. Your decision to purchase or decline available coverage may be recorded in your booking documentation.
I do not guarantee that a particular claim will be covered or paid. Questions about coverage, exclusions or suitability should be directed to the insurer or an appropriately licensed insurance professional.
If you decline or do not obtain applicable insurance, you accept responsibility for losses that are not recoverable from a supplier or another source.
21. PASSPORTS, VISAS AND ENTRY REQUIREMENTS
Travellers are responsible for obtaining, carrying and maintaining all documents required for travel, including passports, visas, permits, health certificates, entry authorizations and proof of onward travel.
Names and travel-document details must correspond with the relevant booking. Some destinations require passports to remain valid for a specified period after travel.
Entry requirements may vary according to citizenship, residence, destination, transit points, age, health, criminal history and other personal circumstances. Requirements may change without notice.
I will provide or direct you to relevant travel-document information where required, but you remain responsible for confirming your individual eligibility and obtaining the necessary documents from the appropriate government authorities.
Denial of boarding or entry may result in cancellation penalties or complete loss of the affected travel costs.
22. TRAVELLING WITH MINORS
Children and infants may require passports, visas, consent letters, custody documents, birth certificates or other documentation.
Minors travelling without both parents or legal guardians may be subject to additional requirements imposed by governments, carriers or suppliers. The parent, guardian or responsible adult must confirm and satisfy those requirements before departure.
23. TRAVEL ADVISORIES, HEALTH AND SAFETY
Travel may involve risks associated with weather, natural events, transportation, health conditions, communicable diseases, political instability, crime, civil unrest and other circumstances.
You are responsible for reviewing applicable travel advisories, health notices and entry requirements issued by the governments and authorities relevant to your citizenship, residence, destinations and transit points.
A new or changed advisory does not automatically override a supplier’s cancellation or refund policy. Available remedies will depend on the supplier’s terms, applicable law and any insurance coverage.
You are responsible for deciding whether you are comfortable proceeding with travel after considering available information and your personal circumstances.
24. SPECIAL REQUESTS AND ACCESSIBILITY REQUIREMENTS
I am pleased to communicate requests concerning room location, bedding, connecting rooms, early arrival, late departure, dietary requirements, accessibility needs, service animals, celebrations, upgrades and other preferences.
Special requests are subject to supplier availability and approval. They are not guaranteed unless expressly confirmed by the responsible supplier in writing.
You must disclose relevant accessibility or assistance requirements early enough for them to be communicated and assessed. A supplier’s inability to accommodate a request does not automatically create a right to a refund outside the supplier’s terms or applicable law.
25. EVENTS BEYOND MY CONTROL
I am not responsible for a failure or delay caused by circumstances beyond my reasonable control, including natural disasters, severe weather, fire, flood, epidemic, pandemic, war, terrorism, civil unrest, labour disruption, government action, border closure, supplier failure, infrastructure interruption, communications failure or transportation disruption.
Where such circumstances affect your arrangements, supplier terms, applicable law and available insurance will determine whether a change, refund, credit or alternative may be available. I may assist with communications and available options within the agreed scope of service but cannot fund or guarantee a particular remedy.
26. SCOPE OF SUPPORT
My responsibilities are limited to the services expressly included in your Planning Agreement or other written scope.
Unless separately agreed in writing, my services do not include continuous monitoring, emergency response, 24-hour assistance or real-time support while you are travelling. During-travel assistance may instead be available from the relevant supplier, insurer, emergency-assistance provider or host agency.
Work requested outside the agreed scope may be subject to availability and additional fees disclosed before the work begins.
27. LIABILITY AND LIMITATIONS
Nothing in these Terms excludes or limits liability, remedies or statutory obligations that cannot lawfully be excluded or limited.
To the fullest extent permitted by law, I am not liable for the acts, omissions, negligence, insolvency, service failures, schedule changes, cancellations, representations or other conduct of independent travel suppliers or third parties that I do not own, manage or control.
To the fullest extent permitted by law, I am not liable for indirect, incidental, special or consequential loss arising from the Website, my advisory services or third-party travel services.
To the fullest extent permitted by law, my aggregate liability arising directly from my travel-planning services for a particular trip will not exceed the Trip Design Fees actually paid to me for that trip.
These limitations do not apply to fraud, wilful misconduct or any liability that cannot be excluded or limited under applicable law.
28. PRIVACY
I collect, use, disclose, retain and protect personal information as described in my Privacy Policy.
Providing travel-planning and booking services may require information to be shared with my host agency, travel suppliers, payment providers, insurers, technology providers and other parties involved in arranging or supporting your travel.
Please review the Privacy Policy before submitting personal or sensitive information.
29. ELECTRONIC COMMUNICATIONS AND APPROVALS
You agree that email and other electronic communications are acceptable methods of communication.
Electronic signatures, approvals, payment authorizations and confirmations may have the same effect as handwritten documents where permitted by law.
You are responsible for monitoring the email address and other contact methods you provide and for notifying me of changes. I am not responsible for a missed deadline caused by your failure to monitor those channels or maintain accurate contact information.
30. CLIENT MATERIALS AND INTELLECTUAL PROPERTY
Original proposals, itineraries, recommendations, planning documents and other materials created by me are owned by Zoë Alexandria unless otherwise stated.
They are provided for your personal use in connection with the services for which they were prepared. They may not be copied, published, sold, commercially distributed or used to solicit competing quotations or bookings from another advisor or agency without my written permission.
Supplier documents, photographs, trademarks and materials remain subject to the rights and terms of their respective owners.
PART III — GENERAL PROVISIONS
31. CONCERNS AND DISPUTE RESOLUTION
If you have a concern, please contact me promptly at [email protected] and provide sufficient information for the matter to be reviewed.
The parties will first attempt to resolve the concern through good-faith written discussions.
After a dispute arises, the parties may agree in writing to participate in confidential mediation with a mutually selected mediator. Unless otherwise agreed, mediation costs will be shared equally.
No person is required by these Terms to submit a consumer dispute to binding arbitration. Arbitration may be used only where the parties freely agree after the dispute arises and where permitted by applicable law.
Nothing in this section prevents either party from seeking urgent injunctive relief, pursuing a claim within the jurisdiction of a small-claims court or exercising a statutory complaint or consumer-protection right.
32. CHANGES TO THESE TERMS
I may update the Website provisions of these Terms by publishing a revised version and changing the Effective Date. Revised Website terms apply prospectively from the date they are published.
The version of the Client Travel Terms accepted for a particular engagement will continue to govern that engagement unless:
Where required by law, I will obtain additional consent before using or disclosing personal information for a materially new purpose.
33. GOVERNING LAW AND JURISDICTION
These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable in Ontario, without regard to conflict-of-law principles.
Subject to any mandatory consumer right or jurisdiction that cannot lawfully be excluded, disputes will be brought before the courts located in Ontario.
34. ENTIRE AGREEMENT AND ORDER OF PRECEDENCE
For Website visitors, Part I and the provisions of Part III that apply by their nature constitute the agreement concerning use of the Website.
For clients, the agreement concerning travel-planning and booking services consists of:
If there is a direct conflict, the more specific document governs the matter it expressly addresses. Supplier terms govern the supplier services they provide, while the Planning Agreement governs the scope and fees for my professional services.
No provision limits a right or obligation that cannot lawfully be limited.
35. SEVERABILITY AND NO WAIVER
If any provision is found to be invalid, unlawful or unenforceable, it will be modified to the minimum extent necessary or severed, and the remaining provisions will continue in effect.
A failure or delay in exercising a right does not waive that right. A waiver is effective only if made clearly and in writing and applies only to the particular circumstance for which it was given.
36. ASSIGNMENT AND THIRD-PARTY RIGHTS
You may not transfer your rights or obligations under a client engagement without my prior written consent.
I may use my host agency and service providers to perform administrative, technological, payment or booking-related functions consistent with these Terms and my Privacy Policy.
Except where expressly stated, these Terms do not create enforceable rights for anyone other than the parties to the applicable relationship.
37. HEADINGS AND INTERPRETATION
Headings are included for convenience and do not affect interpretation.
Words such as “including” and “includes” mean “including without limitation.” Singular words include the plural where the context requires, and electronic records satisfy references to writing where permitted by law.

PART II — CLIENT TRAVEL TERMS
11. ELIGIBILITY AND AUTHORITY TO ENGAGE TRAVEL SERVICES
When engaging my services, you represent that:
- You are at least 18 years old and legally capable of entering into an agreement;
- You are authorized to request, approve and pay for the travel services concerned;
- Information provided by you or on behalf of another traveller is accurate and complete;
- You will promptly communicate relevant changes or corrections;
- If you provide another traveller’s personal information, you are authorized to do so; and
- You will review and comply with the applicable terms of each travel supplier.
- The Trip Design Fee compensates me for professional time, expertise, research and coordination;
- It is separate from the cost of travel;
- It is due before planning begins; and
- It is non-refundable once paid.
- Additional work outside the agreed scope may require an additional fee, which will be disclosed before that additional work begins.
- You and I agree in writing to an amendment;
- A change is required by law; or
- The applicable Planning Agreement expressly provides otherwise.
- These Terms;
- The applicable Planning Agreement;
- The agreed service description or scope;
- Approved proposals, booking authorizations and payment authorizations;
- Written amendments accepted by the parties; and
- Applicable travel-supplier terms.
